Job Description
1. Receive
the invoice from any of the below mentioned locations.
- Procurement.
- Store.
- Vendors.
- Site.
2. Verifying
the GRN stamp in the DO or invoice.
3. Any bills
without GRN stamp are to be returned.
4. All bills
should be original and copy of the bills should not be accepted.
5. Make sure
PO is duly signed by all responsible persons.
6. Once the
above said verifications done the payable administrator should book the
invoice.
7. Should
ensure that the material purchased for stocking are entered in the concerned
store account codes section wise.
8. Only
entry need to be done posting will be done by the other assigned staff.
9. Should
ensure the all the entries are posted at the End of the day.
10. The
payable administrator should process the payment advice on10th of every month
for the next month with all the original booked bills under due.
11. Once the
payment advice is approved by the entire signatory the finance admin should
complete the entries before preparing the payment.
12. The
payable admin is sole responsible for allocating the payments to the bills in
the System.
13. Other than
the above said process the payable admin. Shall prepare the chq. Payment
request for CDC or PDC as per the request from procurement, which will be paid
based on the approval of finance admin.
14. The
request for any advance payment before receipt of the materials should be
forwarded to the Internal Audit department and the same shall be processed as
per the instruction form Internal Audit.
15. Supplier
calls need to be attended by Payables Administrator.
16. Proper
answers need to be passed to them because good relation with supplier
